Custom Bag Bulk Production Retention Sample Guide
A golden sample shows the approved production target. A bulk retention sample records what was actually produced in a specific lot, after normal materials, operators, packing and production conditions were involved.
Keep a traceable production-lot reference—not an unlabelled spare bag
The buyer and manufacturer should agree whether retention samples are needed, who selects them, how they are identified, how long they are kept and what decisions they may support. A retained unit is useful evidence, but it does not prove that every item in the lot is identical or replace an agreed inspection plan.
Define why a retention sample is required
State whether the sample will support receiving comparison, complaint investigation, repeat-order development, color reference, construction review or packing verification. The purpose determines what must be retained.
For coordinated sets or several SKUs, define whether one unit per style, color, size or production lot is needed. Avoid assuming that one attractive finished piece represents every version.
Select and identify the production unit
Choose the unit from finished bulk production using an agreed method, ideally after normal final inspection and before cartons are closed. Record the purchase order, SKU, color, lot or date, quantity and selection point.
Attach a durable identifier without changing the product surface. Photograph the unit, label and relevant packing so the reference can be matched to the correct production record.
Seal, store and protect the reference
Use clean protection that limits dust, handling marks, moisture exposure and component loss. Structured or pile fabrics may need support that avoids long-term crushing.
Record storage location, custodian and review date. Light, humidity, heat and age can change textiles, coatings, elastic, adhesives and color, so storage conditions and sample age should be considered when comparisons are made.
Use the sample with controlled documents
Compare the retained unit together with the final specification, approved changes, inspection report, artwork, material references and packing instruction. Do not let a retained unit silently override written requirements.
For a future reorder, record which characteristics remain valid and which need new material, color, component or production approval. If the sample is opened, transferred or disposed of, update the custody record.
BUYER FAQ
Questions to settle before the reference or evidence set is approved.
Is a bulk retention sample the same as a golden sample?
No. A golden sample is normally the approved production target; a retention sample records a selected unit from an actual bulk lot.
How many samples should be retained?
There is no universal quantity. The buyer should define coverage by SKU, color, size, set and production lot according to project risk and intended use.
How long should a retention sample be stored?
The storage period should be agreed for the project and consider reorder cycles, complaint windows, material aging and available storage conditions.
Can a retained sample prove that the whole shipment matched?
No. It is one traceable reference unit and should be used with inspection, quantity, packing and production records.
