Custom Bag Golden Sample Handover Guide
A signed sample is most useful when everyone knows exactly what it approves, which documents belong with it and how later changes will be controlled.
Define the approval record before production
The golden sample should be one part of a controlled reference set. Measurements, artwork, materials, workmanship, packaging and approved exceptions need written records so production and inspection are not forced to interpret memory or informal messages.
Define what the sample approves
Record the product reference, sample date or revision, intended market and approval status. State whether the sample approves appearance only, full construction, fit, packaging or another limited scope.
Mark any points that remain open. A conditional approval should list the required correction and the evidence needed before production proceeds.
Attach the complete reference set
Link the sample to the current specification, measurement table, artwork, color references, material and trim schedule, label files, packaging instructions and test requirements.
Use matching revision identifiers so outdated files cannot be mistaken for the approved version. Keep digital photographs for visible details but do not treat photographs as a replacement for physical color or construction references.
Create a production handover checklist
Review the approved set with purchasing, pattern, cutting, sewing, quality and packing teams. Highlight critical fit, artwork, attachment, closure and packing points that need in-process control.
If multiple golden samples exist, identify where each one is kept and which sample controls factory production, buyer review and third-party inspection.
Control changes after approval
Log every requested change with its reason, affected documents and approval result. Reapprove the complete sample only when the change affects several connected features; otherwise define the focused evidence required.
Before final inspection, confirm that the inspector has the correct revision, defect definitions, packaging instructions and any approved deviations.
BUYER FAQ
Questions to settle before production.
Is a signed physical sample enough by itself?
Usually not. It should be linked to the approved specification, artwork, materials, measurements, packaging and change record.
What is a conditional sample approval?
It records that approval depends on named corrections or evidence, rather than treating unresolved points as fully approved.
Who needs the approved reference set?
The buyer, factory production and quality teams, and any appointed inspector need access to the correct controlled revision.
Keep the component list on a controlled revision
Link the approved sample to the exact BOM revision it demonstrates.
