Custom Bag Specification Sheet Template for Buyers

A useful specification sheet turns a visual idea into written product decisions that a supplier can quote, sample and inspect. This template is designed for cosmetic bags, toiletry bags, travel organizers, pouches and other sewn soft bags.

Use one controlled document from quotation to reorder

Complete the fields you know and mark unresolved items for supplier review. Update the revision number whenever an approved material, dimension, artwork or packing requirement changes.

01

Identify the product and intended use

Record the item name, internal SKU, product type, target market, sales channel and intended contents. Include a reference image or drawing number without treating the image as the complete specification.

02

Define finished dimensions and measuring points

State length, width, height or depth in one unit system and show where each measurement is taken. Add tolerances only after reviewing the construction and critical-fit areas.

03

Build the material and component list

List the outer material, lining, padding, reinforcement, zipper, puller, hardware, thread, labels and other components. Use supplier or material codes when confirmed, and keep proposed substitutions subject to written approval.

04

Control artwork and branding

Reference the approved artwork file, color standard, logo method, finished placement and acceptable orientation. For prints, record scale, repeat and priority motif zones where relevant.

05

Describe construction and functional checks

Define compartments, seams, binding, zipper path, handles, straps and attachment points. Connect critical features to practical checks using representative contents and approved samples.

06

Add inspection, packing and revision records

Record defect expectations, required tests, unit packing, labels, carton assortment and shipping marks. Keep a revision history showing what changed, who approved it and which sample or document became the current reference.

BUYER FAQ

Questions to settle before approval.

Is a reference image enough for a supplier quotation?

No. An image can communicate direction, but dimensions, materials, construction, branding, quantity, packing and approval requirements still need written definition.

Should every field be finalized before contacting a manufacturer?

No. Unknown items can be marked for supplier review, but assumptions should not silently become production requirements.

What makes a specification useful for repeat orders?

A controlled revision number, approved material identities, artwork references, measurements, packing details and change history make the record reusable.
