BUYER GUIDE
Custom Bag Quality Issue Evidence and Corrective-Action Guide
A message saying that a bag is “wrong” is difficult to investigate. A useful quality notice identifies the exact order, requirement, affected units and evidence while preserving samples for joint review.
Describe the observed nonconformity before deciding the cause
Buyers and manufacturers can resolve issues faster when the record separates facts, suspected causes and requested actions. The evidence should be proportionate, protect confidential information and remain traceable to the correct SKU, carton and production lot.
Identify the order, version and requirement
Record the purchase order, product code, color, size, artwork version, carton or lot reference, received quantity and inspection date. Quote the exact specification, approved sample feature or packing instruction believed to be affected.
State whether the issue concerns appearance, dimensions, function, labeling, count, packing or arrival condition. Avoid combining unrelated observations into one general complaint.
Define the affected quantity and evidence sample
Count confirmed affected units, checked units and unchecked stock separately. Note whether the pattern appears in one carton, several cartons, one SKU or the full received lot.
Photograph the complete product and the specific issue with a scale, measurement method or comparison reference when useful. Keep filenames or an evidence index linked to unit and carton identity.
Protect samples and request investigation
Quarantine representative affected and acceptable units where possible. Preserve packaging, labels and carton marks when they may help identify the source or handling stage.
Send factual evidence and the immediate business impact, then request containment, cause review and proposed action. Do not dispose of all affected units before the parties agree what must be examined.
Document containment, correction and prevention
Separate urgent containment for current stock from the longer cause investigation. Record sorting, repair, replacement, credit or other commercial resolution only when mutually agreed.
For future production, identify the verified cause, corrective action, responsible owner, due date and effectiveness check. Update specifications, samples, inspection points or packing instructions when the approved solution changes the product record.
BUYER FAQ
Questions to settle when goods arrive or an issue is reported.
What photographs are most useful for a quality issue?
Include the full product, close detail, scale or measurement reference, comparison unit when relevant, and the unit or carton identifier.
Should every affected unit be photographed?
Not always. Record total affected and checked quantities, then agree the representative evidence and whether expanded sorting is required.
Is a suspected cause enough to close corrective action?
No. The cause and action should be supported by investigation evidence and an effectiveness check appropriate to the issue.
Can a quality guide determine the commercial remedy?
No. Replacement, repair, sorting, credit or other remedies depend on the order terms, evidence and agreement between the parties.
