BUYER GUIDE

Custom Bag Receiving Inspection and Carton Reconciliation Guide

A shipment can pass pre-shipment review and still arrive with carton damage, allocation errors, count differences or handling marks. Buyers need a receiving process tied to the purchase order and packing records.

Check identity and condition before stock is mixed or distributed

Receiving inspection is not a repeat of every factory check. Its purpose is to confirm that the delivered cartons, SKUs, quantities, versions and visible condition match the shipping and order records, while preserving evidence if a discrepancy needs investigation.

01

Prepare the receiving reference set

Collect the purchase order, commercial packing list, carton matrix, SKU and version list, shipping marks, agreed inspection records and any approved deviations. Identify the warehouse, delivery, dealer, campus or project allocation expected in the shipment.

Assign a receiving owner and define which cartons will be opened, how quantities will be checked and where unverified or damaged goods will be held. Do not distribute mixed-version cartons before the reconciliation is complete.

02

Record arrival and external carton condition

Count delivered cartons and compare carton numbers, shipping marks, destination labels and visible seals with the transport and packing records. Photograph crushed, wet, opened, re-taped or unidentified cartons before moving their contents.

Transport damage does not automatically prove a manufacturing defect. Record where the issue appears, whether inner packaging is affected and which carrier or warehouse event may be relevant.

03

Reconcile SKUs, quantities and visible product status

Open cartons according to the agreed receiving plan. Check SKU, color, size, artwork, language, barcode, inner-pack quantity and carton assortment against the approved matrix.

Inspect selected units for visible damage, contamination, deformation, missing components or packing transfer marks. Keep the product, unit pack, carton identifier and receiving date connected in the record.

04

Quarantine discrepancies and close the receipt

Separate affected goods without altering labels, packing or evidence needed for review. Record verified quantity, affected quantity, unverified quantity and whether the issue is isolated or appears across more than one carton.

Send a concise discrepancy notice with order references and evidence. Complete warehouse release only for the quantities and versions that have been reconciled, and preserve the final receiving record for future orders.

BUYER FAQ

Questions to settle when goods arrive or an issue is reported.

Does receiving inspection replace pre-shipment inspection?

No. Receiving checks focus on delivered identity, counts, allocation and arrival condition; pre-shipment inspection addresses agreed product and packing requirements before dispatch.

How many cartons should be opened?

Coverage depends on the order, risk, buyer procedure and any contractual inspection plan. The method should be defined before receiving begins.

What should happen to damaged or unidentified cartons?

Hold them separately, preserve labels and packing, document their condition and confirm the review process before stock is distributed or repacked.

Should transport damage be reported as a product defect?

Describe the observed condition and evidence without assuming the cause. Manufacturing, packing, transport and warehouse handling should be reviewed separately.
